Wabot User Documentation
WhatsApp customer-service bot β let AI reply your customers 24/7, recognize orders, hand off to humans, all from one Windows PC.
This document explains each step in detail + FAQ + troubleshooting. Full read ~15 minutes.
π System Requirements

π¦ 9-Step Install
Installer is 36 KB. Auto-downloads ~50-200 MB dependencies during install. First-time takes 5-10 min.
Download installer
Go to gowabot.com and click "Download Windows Installer" to get wabot-installer-0.1.6.zip.
Extract
Right-click the zip β Extract Here. Recommended location: Desktop or D:\ for easy access.
Double-click install.bat
You'll see install.bat after extracting. Double-click it. Windows will prompt "Run as Administrator", click Yes.
Choose language
Menu shows: 1) zh-CN Chinese / 2) Espanol / 3) English. Type the number and press Enter.
Accept EULA
License agreement is shown. Read and type yes to continue.
Trial OR enter activation code
Trial: just press Enter β 14 days free, no credit card required.
Activation code: paid customers paste their 16-character code from email (format ABCD-EFGH-IJKL-MNOP).
Wait 5-10 min for auto-install
Script auto-downloads Node.js / NSSM / Cloudflared / browser components. Progress bar shown. Don't interrupt.
If it fails: script auto-uploads error log + shows fix suggestions on screen (don't close the window).
Desktop shortcut
After install, you'll see Wabot Owner Console shortcut on Desktop. Double-click to open in Chrome/Edge.
Scan WhatsApp QR code
The dashboard shows a QR code + "Scan" button on first open. On your WhatsApp mobile app: Settings β Linked Devices β Link Device β scan this QR code.

New installs default to a 14-day trial. All features unlocked: unlimited messages, unlimited customers.
- 7 days / 3 days / 1 day before expiry: email reminder to renew
- On expiry day: bot stops auto-replying customers (data preserved)
- Pay $19 USD for 1 month β activation code arrives β enter in admin β instant resume
π± Binding WhatsApp
Step 9 (scan QR) takes effect immediately. Your phone is NOT replaced β Wabot becomes a "Linked Device" (like WhatsApp Web).
- Your phone keeps using WhatsApp normally
- When customers message you β it appears on Wabot too
- Wabot replies on your behalf β customers see messages from your number (not a bot's)
- Customers can't tell the difference (only signature/tone may differ slightly)
Switch computers / Reinstall OS
Wabot license is bound to one machine. To switch:
- Email [email protected], subject "Switch device + your activation code"
- We unbind your old install within 24h (no charge)
- Install on new computer, enter same activation code

Desktop shortcut β opens browser at http://localhost:7842 (also works from phone on same wifi via local IP).

π Menu Management (for restaurants)
Left sidebar β Menu Management β add items. Each has:
- Name (Chinese + auto-translated to Spanish/English)
- Price (USD)
- Category (Appetizers / Mains / Drinks)
- Image (optional, OCR can auto-extract from menu photo)
- In-stock toggle (one click to disable when sold out)
OCR auto-import: take a photo of your menu β upload β Alibaba OCR + GPT Vision extract items + prices β click "Confirm" to save.
π Owner Number Setup
WhatsApp Status card β βοΈ Edit Owner Number.
Owner number is the phone you send commands from (different from the bound WhatsApp number which is what bot uses to reply customers).
Example:
- Bound WhatsApp: +507 1234-5678 (Wabot uses this to reply customers)
- Owner number: +507 8765-4321 (you message the bound number from this β bot listens to commands)
Examples of commands: send pause β bot stops auto-reply; send resume β bot resumes.
π€ Human Handoff
If customer message contains certain keywords β bot doesn't reply, forwards the message to your owner number for manual response.
Default handoff keywords (customizable):
- order / want one / get one / buy
- complaint / refund / not satisfied
- find owner / human / real person
Settings β Handoff Keywords to add/remove.
π Business Hours
Settings β Business Hours.
Outside business hours: bot auto-replies "Sorry, we're closed. Will reply tomorrow at 8 AM" (text customizable).
Common setups:
- Mon-Sat 8:00-22:00 open
- Sun closed
- Holidays: configurable separately
π§ Troubleshooting
Issue 1: Install fails halfway
The script auto-uploads error logs to Wabot servers. Within 10 minutes, our team will see and may proactively contact you. Common fixes are shown on screen (e.g. "Disable 360 antivirus and retry").
Manual reinstall:
1. Double-click uninstall.bat
2. Restart computer
3. Run install.bat again
Issue 2: Bot not replying after QR scan
- Check WhatsApp Settings β Linked Devices β Wabot still listed?
- Check admin's WhatsApp Status β "Online"?
- Check Auto-reply toggle β enabled?
- Check Trial / License status β not expired?
- Left sidebar β Logs β search for ERROR keyword
Issue 3: Customer says they didn't get bot's reply
Possible causes:
- WhatsApp rate-limited you (replied too fast β anti-spam triggered): pause 1 hour
- Customer is in Wabot blocklist: admin β Blocklist β remove
- Handoff keyword triggered: owner number should have received forwarded message
Issue 4: Browser can't open admin
Verify service is running:
Win+R β type services.msc β find Wabot β status should be "Running"
If not: right-click β Start.
Issue 5: Want to refund / uninstall
Within 14-day trial period, anytime:
- Double-click
uninstall.batfor clean uninstall - No leftover files or registry entries
- No charges during trial
