🧠 Service Brain

A "brain" added in front of your Wabot bot: it recognizes customers, sticks to your rules, and asks the owner first when it is not sure. Prices, policies and complaints go through it: what it knows it answers; what it doesn't, it sends to the owner as a card.
1. What it is 2. Activation and modes 3. What to prepare 4. What customers see 5. On the owner's side 6. With PANAPOS 7. Cost 8. FAQ

1. What it is

The original Wabot bot answers with keywords, the menu index and a fixed persona prompt. The brain sits in front of it and adds four things:

CapabilityOriginal botWith the brain
Answer sourcePrompt + FAQ keyword matchReads your prompt, FAQ, products/menu and business hours, and composes the answer for the actual question
Recognizing customersNoRecognizes returning customers (with PANAPOS, including purchase history) and answers with context
Prices and promisesMay make them upOnly quotes prices you wrote down; if missing, says "let me confirm" and asks for a phone number. Never invents numbers
When unsureAnswers anywayHolds the reply and sends the owner a card; the owner answers 1 / 2 / 3
LanguagePer settingsReplies in the customer's language: Spanish, Chinese or English
Nobody is left unanswered when the brain is down. On an error or timeout the bot falls back to its usual logic and the customer still gets a reply; the owner gets a notice.

2. Activation and modes

The Wabot team turns it on from our console; you install nothing. There are four modes:

ModeWhat the brain doesWhen
OffDoes not intervene; the bot works as beforeDefault
ShadowEvaluates every message silently without sending anything; customers get the original bot's replyThe first day, so we can check its answers
Known customers onlyReplies only to recognized customers; new numbers get the original botOne week of observation
AllEvery customer message goes through the brain firstNormal use

The usual pace: one day in shadow → one week known-only → all. We make each switch for you.

"Brain first"

On by default. With it, questions like "what do you have / the menu / how much is X" are answered by the brain too; the old category list only shows when the brain has no reply.

If you run a restaurant and want to keep the "menu → customer replies a number → order" flow, ask us to turn "brain first" off. Other questions still go through the brain.

3. What to prepare (your bot admin)

Everything the brain says comes from what you fill in at the Wabot admin (http://127.0.0.1:7842/admin/). The more specific, the better it answers; what is not written, it will not invent.

WhereWhat to writeNotes
⚙️ Settings → AI system promptBusiness name, what you do, how to address customers, tone, which topics always go to the ownerUp to 8000 characters. Rules such as "if you don't know, say you'll confirm" are followed
📚 FAQThe 10–20 most common questions: prices, policies, hours, address, payment methods, delivery areaUp to 200 entries. Always write prices as numbers (e.g. "installation $25"); the brain only quotes written prices
📦 Products / 🍽 MenuName, price, categoryPrice with unit; categories are translated automatically
⚙️ Settings → Business hoursOpening and closing time per dayUsed when customers ask "what time do you open?"
Owner phoneYour own mobileSee "Link the owner phone" below
When changes apply: the bot syncs what changed to the brain every 5 minutes. Changes take effect within 5 minutes, no restart needed.

Link the owner phone (once)

From the owner's phone, send this to the business WhatsApp number:

1 your owner number

For example, if the owner number is +507 6951-9368, send 1 50769519368. When the bot replies with its command list, the phone is linked. From then on, anything sent from that phone is treated as owner commands, not as customer messages.

Do not test as a "customer" from the owner phone. A message from the owner means "the owner took over this chat" and the brain stays silent there for 4 hours; it will look broken. Use another phone to test.

4. What customers see

If it is in your knowledge, it answers directly:

How much is the time clock?
Hi! The time clock is $30 per year with a 15-day free trial at daka.gowabot.com. Shall I set up the trial for you?

A price that is not written down is never invented; it asks for a phone number and passes it to the owner:

How much to install 6 cameras?
That is quoted by camera points and recording days. Let me confirm with the owner and get back to you. Could you leave a phone number?

5. On the owner's side

1. Approval cards: reply 1 / 2 / 3

In these cases the brain does not answer the customer and first sends the owner a card:

🧠 Pending #3 · +507 6779-0123
Q: How much to install 6 cameras?
Draft: That is quoted by camera points and recording days…
Held because: number filter · 6 is not in the table
Reply 1 send · 2 I'll handle it · 3 change + your text
If no reply in 10 min I send the fallback message
You replyResult
1The draft is sent to the customer as is
2You handle the customer yourself; the brain stays silent with that customer for 4 hours
3 your textYour text is sent to the customer (e.g. 3 6 points are about $480 including installation)
No reply in 10 minThe customer gets "let me confirm and get back to you" and you are notified

With several cards open, include the number: #3 1. If the customer follows up while waiting, you get a "#3 customer asked again" notice.

2. Lookups and notes (from the owner phone)

SendYou get
cerebro todayToday's traffic through the brain: messages, customers, pending cards
cerebro 67790123Today's history with that customer (last 12 messages)
nota 67790123 regular, credit until month endSaves a note about that customer; the brain uses it when replying to them
borrar nota 67790123Deletes the note

3. Daily report at 8:00

Every day at 08:00 the owner receives a summary: messages handled yesterday, recognized customers, replies sent, handoffs, cards (sent / handled by you / edited / expired) and average model time.

4. Daily budget used up

Each day there is a cap on model calls (set by Wabot per your plan). When it runs out, the original bot answers for the rest of the day and the brain resumes the next day; you get a single notice. Contact us to raise the cap.

5. Brain temporarily unavailable

If the brain fails or times out you get a "service brain temporarily unavailable" notice; the original bot keeps answering and nothing is missed. It re-engages on its own once recovered.

6. With PANAPOS

If your store runs PANAPOS v0.5.177 or newer, the register syncs a summary of customers with a phone number to the brain: name, last purchase, 90-day spend and order count, credit balance and the 3 categories they buy most. It is sent only when something changed, at most every 2 hours.

With that, the brain recognizes returning customers and answers with context, for example "the item you bought last time is still in stock". Ask us if you prefer not to sync.

8. FAQ

It answered wrong. What now?
Check whether the information is missing or vague in your knowledge; fix the FAQ or prompt and it applies within 5 minutes. If still wrong, send us the customer number and time: we check the log and can correct the knowledge it uses directly.
Want to pause the brain?
Ask us to switch it to "off" or "shadow". Note: the original bot's "pause" command stops the whole bot, not just the brain.
Customers ask "what do you have?" and get the category list.
"Brain first" is off for you. Ask us to turn it on if you want the brain to answer.
Can it invent prices or promises?
It never quotes numbers that are not in your knowledge: if missing, it holds and shows you the card; replies about prices, policies and complaints also go through a verification step and are held if they don't match.
What if the customer sends audio or a photo?
It bypasses the brain; the original bot handles it. For audio the customer is asked to type.
If I reply, will the brain cut in?
No. In a chat where you replied, it stays silent for 4 hours; replying "2" has the same effect.
I message from my own phone and nothing happens.
Owner messages are commands, not customer messages. Test from another phone.
Where is the data kept?
Your prompt, FAQ, products and conversations are stored only on Wabot servers, used to answer customers and build the daily report, nothing else.
